Quote Request to Booked

Use this walkthrough for the daily quote flow: receive the email, claim it, quote it, send it, then move awarded work to Pending Dispatch.

Fail-safe: if the Inbox warning says sync needs attention and a request is missing, use New Quote, paste the customer email/request, and keep working while an admin checks Graph Sync Health.

Email Arrives

Customer emails quote.desk@prdlax.com, or an employee BCCs Quote Desk when the request came to their own email.

  1. Open Inbox.
  2. Confirm the sync pill is current.
  3. Select the newest quote request.

Create Quote + Claim

This moves the request to My Quote Desk and keeps the full email chain beside the quote entry screen.

  1. Click Create Quote + Claim.
  2. Check the email chain on the left.
  3. Make sure Customer Email(s) includes all outside customer recipients.

Complete the Quote Tabs

The tabs keep the screen short. Work left to right and save as you go.

  1. Intake: customer, emails, priority, subject.
  2. Parties: shipper and receiver details.
  3. Service: mode, equipment, cargo lines.
  4. Pricing: internal cost, customer quote, quote lines, cargo insurance.

Price and Send

Enter the sell price and customer-facing charge lines. Cargo Insurance prints DECLINED when left at 0.00 unless an insured value is entered.

  1. Enter Customer Quote.
  2. Enter charge lines the customer should see.
  3. Click Send Quote Email.

Quoted PA

After the quote is sent, it belongs in Quoted PA while waiting for the customer to award, decline, cancel, or revise the request.

  1. Watch for the customer reply.
  2. If they cancel or decline, mark Not Awarded.
  3. If they award it, open the quote and continue to booking.

Booked - Pending Dispatch

Booked means the customer awarded it. It is not finished yet. It moves to Pending Dispatch so the shipment can be entered in Landstar TMS, LTL, another system, or the main dashboard.

  1. Click Booked - Pending Dispatch.
  2. Enter Landstar FB/integration #, LTL/other system #, dispatch owner, and notes.
  3. Only close as Shipment Created after the dashboard shipment # exists.

Dispatch Handoff

Stop here once booked. Dispatch/tracking confirms it is entered and then closes it as a live shipment.

Team Rules

Do not leave work invisible.If you are working it, claim it. If you stop working it, return it to queue.
Keep customer recipients clean.Quote Email(s) should include outside customer emails, not internal Pride/Landstar addresses.
Booked is a handoff.Booked work goes to Pending Dispatch until it exists as a real shipment on the dashboard.
Use the fail-safe.If the live inbox feed is stale, create the quote manually and tell admin to run sync health.
